Time tracking software for QuickBooks Online and Xero
Choose by where you create invoices and which data needs to reach your accounting system. Harvest, Everhour and Timen can send invoices to QuickBooks Online or Xero. TimeCamp and Hubstaff also offer routes for time data into QuickBooks, while Xero Projects tracks work inside Xero. QuickBooks Time connects to QuickBooks Online through an integration that needs setup.
Start with the billing workflow. If your bookkeeper creates invoices in QuickBooks or Xero, look for the hours or client data they need there. If you create invoices in the tracker, compare how it transfers the invoice and handles corrections.

What should an accounting integration transfer?
Check the data, direction and connection separately. An integration may import clients, send invoices and bring payment status back. Calling it a "send" or a "sync" does not tell you whether it runs automatically or requires approval for each transfer.
- Data: confirm whether it transfers time entries, clients, invoices or payments.
- Direction: check which system supplies each record and where corrections belong.
- Connection: find out who authorises access, whether it stays connected and what happens if that person leaves.
A CSV export is another option for occasional transfers. Check that its columns match the destination's importer and that you have a process for correcting records already imported.
Nine options, including one legacy integration
Prices below are in US dollars. Most tools require a paid plan for accounting features; Timen includes invoice sends on its free plan. Toggl Track is included for existing users, because the unified Toggl product does not offer its legacy accounting integrations.
1. Harvest - the invoice goes across, and the payment can follow
Best for: An agency or consultancy that already invoices from Harvest, wants every sent invoice to appear in QuickBooks Online or Xero without retyping, and is on a paid plan anyway.

When an invoice is sent from Harvest, the integration creates a copy in QuickBooks Online or Xero. You can also copy payments received through Harvest via PayPal or Stripe. The transfer is one way; it does not bring accounting changes back or transfer timesheets.
The accounting integration requires Teams. Free users can download invoices but do not get that connection. Under Flex billing, invoice usage can also affect the bill, so compare the allowance and Unlimited option for your volume. See the Harvest pricing breakdown for the details.

Older reviews praise the timesheets, invoices and Xero connection. Recent G2 reviews include strong criticism of renewal pricing. Other concerns include reporting limits and fixed invoice layouts; one Xero reviewer notes that payments do not flow back to Harvest.

2. Everhour - drafts in your books, status back in the tracker
Best for: A team of five or more that tracks time inside Asana, ClickUp, Jira or a similar tool and wants invoices raised from those hours to land in QuickBooks Online or Xero as drafts for the bookkeeper to finish.

Everhour imports customers from QuickBooks Online or Xero, so projects can use the same clients as the accounting system. It copies invoices built from hours and expenses into the accounting system as drafts. Invoice status, number, date and amount are then updated in Everhour as the accounting record changes.
This suits teams that want a bookkeeper to review the draft before sending it. Confirm where your team will edit and approve invoices before using the connection.
Budget for Team: the free plan does not include these integrations, and the five-seat minimum makes the annual-billing minimum $42.50 a month. Everhour is a strong fit for work tracked within a project tool. For other workflows, compare the Everhour alternatives.
What users say about Everhour
Almost every Everhour reviewer we read tracks time from inside Asana, ClickUp or Basecamp and treats that as the whole point; several call support outstanding. That is consistent with where the value sits: in the project tool connection, with the accounting send riding on it. Criticism is mild and familiar. The price stings for small teams, Basecamp's integration is thinner than Asana's, timesheet exports look untidy, and Capterra's reviews are mostly years old.

3. TimeCamp - clients in, invoices and selected time data out
Best for: A team that wants its accounting system's clients, products and tax rates to be the structure it tracks time against, and wants invoices and hours to go back the same way.
- Pricing: Free with unlimited users and projects. Starter is $3.99 per user/month billed annually or $5.49 monthly and adds invoicing; Premium, $6.99 annually or $9.99 monthly, is where the QuickBooks and Xero connection lives, with one integration included; Ultimate, $9.99 or $13.99, adds unlimited integrations, billing rates, expenses and timesheet approvals; Enterprise is on request. The AI timer is metered by token usage on every plan, at an estimated $6 per user a month.

QuickBooks Online: an admin connects the account to import clients, products, services and tax rates into TimeCamp. Clients become tasks under a QuickBooks project. Invoices go to a selected revenue account, and an optional setting exports time entries when users are matched by name and email.
Xero: contacts are imported as tasks and clients, and invoices created in TimeCamp can be exported with the client and taxes. Tracked time itself is not sent to Xero.
Imported items are maintained in the accounting system. Check which contacts the connecting admin can access and arrange to re-enable the connection if that person leaves. TimeCamp's fans are the people who like structure. Reviewers describe nesting projects into ever smaller items, entering time live or by the week, and seeing which clients pay, at a price several call the cheapest around. The cost is set-up: the value only arrives once the hierarchy is organised, and a few feel it was built for bigger teams. Integrations that need manual refreshes and a refund dispute over annual billing complete the list.

4. Clockify - two different integrations under one name
Best for: A team that wants invoices built in Clockify and sent to Xero with payments reported back, at a lower paid-seat price than several tools on this list, or one that pays its people through QuickBooks Payroll.
- Pricing: Free for up to 5 users, without billable rates or invoicing. Basic is $3.99 per seat/month billed annually ($4.99 monthly) and adds billable rates; Standard, $5.49 ($6.99), adds invoicing, recurring invoices, approvals and the QuickBooks integration; Pro is $7.99 ($9.99) and Enterprise $11.99 ($14.99). Xero: send invoices built from tracked time, create missing clients during the transfer and receive paid or partially paid status back in Clockify.
QuickBooks: transfer billable time for payroll after mapping users and customers. This route requires QuickBooks Online Essentials, Plus or Advanced with Payroll. It does not send Clockify invoices to QuickBooks Online.

What users say about Clockify
What reviewers like about Clockify is that nobody argues with it: people clock in and out, the timer does not crash, and an email arrives when someone leaves it running. One or two credit the Xero and Jira integrations. The complaints are about everything around the timer. Reports are a chore when you only need totals, help docs skip things, support can take a day, and the kiosk's face recognition and screenshots unsettle people.

5. Timen - free, with each invoice sent and approved one at a time
Best for: A team that bills by the hour, wants invoices built from its tracked time at no cost, and wants each finished invoice to land in QuickBooks Online, Xero, FreshBooks or Wave without leaving a standing connection to its books.
- Pricing: Free, every feature included, with unlimited users, projects and time entries.
Timen creates invoices from a report for one client and period. Choose a line per entry or group, review the rates, and add any tax or discount. The Export menu offers PDF and CSV downloads, including CSV formats for the QuickBooks Online and Xero importers.
For a direct transfer, sign in to the destination and approve the send. Timen finds or creates the client, transfers the invoice and checks whether the destination total matches. Wave has the limitations described below.
Timen releases access when the send finishes. It does not sync timesheets or payroll, import accounting contacts or collect payments. Corrections can update the previously sent invoice in QuickBooks Online, Xero or FreshBooks.
Wave cannot accept invoices with tax or discounts, and Timen cannot update an invoice already sent there. Xero requires the invoice currency to be enabled in the organisation. For a Xero CSV import, check account code 200 against your chart of accounts.

6. QuickBooks Time - time tracking connected to QuickBooks
Best for: An employer using QuickBooks Online that needs staff time, approvals and payroll-related features in Intuit's product range.
- Pricing: Time Premium is $20 a month base plus $10 per user per month; Time Elite is $40 base plus $12 per user. The base fee includes one admin and is half price for the first three months; the per-user fee is not discounted. A QuickBooks Online account is required, so the real monthly cost is this plus that subscription. Workforce Premium and Elite bundle payroll at $88 plus $13 per employee and $134 plus $17 per employee.

QuickBooks Time connects to QuickBooks Online to share customer and time data. Setup can include authorisation, import preferences and payroll mapping; Intuit documents these in its integration setup guide.
Staff can track through the Workforce app or a kiosk, with manager approval before export. Elite adds project estimates, mileage and timesheet signatures. Check the required settings with the person managing payroll or invoicing.
Include the base fee, users and required QuickBooks Online subscription in the cost. This is a QuickBooks option rather than a Xero connection. Its clock-in, scheduling and payroll features may be useful for an employer, while a consultancy may need a simpler billing workflow. Compare those uses in time tracking for small business.
What users say about QuickBooks Time
Reviews praise the payroll and invoicing connection, mobile tracking and clock-in reminders. Reported problems include mobile logouts, kiosk issues after updates and support concerns from a long-time TSheets customer. These experiences do not support a promise that the integration cannot fail.

7. Xero Projects - built into Xero, on the top plan
Best for: A business already on Xero's Established plan that wants a timer, job costs and the invoice in one login, and whose staff work in Xero often enough to log time there.
- Pricing: Projects is not sold on its own. In the US it is the "track time and costs for projects" line on Established, $97 a month, which is $19.40 for the first three months on the current 80% promotion; Early at $27 and Growing at $59 do not include it. Xero charges no per-user fees, and subscriptions renew monthly.
- Rating: No separate listing for Projects on either site. Xero as a whole is 4.4/5 on Capterra from 3,330 reviews and 4.4/5 on G2 from 1,837 reviews
Xero Projects tracks time and costs within Xero. Create a project, record work and expenses, then prepare a fixed-price or time-and-materials invoice. It also supports project quotes, deposits and progress payments, with reports comparing revenue and cost.
In the US, moving from Growing to Established adds $38 a month at the listed prices. Compare that increase with a tracker priced for your actual team size and other features you need.
Try the time-entry workflow with the people who will use it. A separate tracker may fit staff who do not otherwise work in Xero. Projects also lacks a team timesheet review screen, which matters if you need to review hours together before billing.
What users say about Xero Projects
Neither site lists Xero Projects on its own, so what follows is about Xero as a whole, and nobody in the reviews we read mentions the timer or job costing. Xero is praised for being learnable without an accountant, for bank reconciliation, and for quick invoices with automatic reminders. The complaints are ticket-only support, login lockouts, an interface that looks its age, and subscription prices that reviewers feel climb faster than a small business grows.

8. Hubstaff - hours sync every hour, invoices stay yours to build
Best for: A remote or field team whose manager wants Hubstaff's activity and location features anyway, and whose bookkeeper raises invoices and runs payroll in QuickBooks from hours that arrive by themselves.
- Pricing: Starter is $4.99 per seat/month billed annually ($7 monthly) and has no integrations; Grow, $7.50 ($9), includes one integration and is the plan the QuickBooks sync needs; Team, $10 ($12), has unlimited integrations and pays contractors from tracked hours; Enterprise is $25. The per-seat plans start at two seats, every seat is paid whether or not that person tracks, and there is a 14-day trial.

Hubstaff automatically sends hours to QuickBooks Online every hour. QuickBooks Desktop uses an exported IIF file instead. The invoice is created in QuickBooks from the transferred time; Hubstaff's own invoices are not what this integration sends.

What users say about Hubstaff
Hubstaff's reviewers split by who holds the timer. Managers of remote teams like the weekly report emails and the activity rates, and say the visibility made going hybrid feel safe. The people being tracked are warier: screen capture felt like an intrusion, default screenshot settings caused pushback until recalibrated, and idle detection stops the timer while someone is reading on another screen. Both sides mention patchy support and small-team pricing.

9. Toggl Track - a legacy QuickBooks option for existing users
Best for: An existing Toggl Track workspace that already sends the occasional invoice to QuickBooks from its Invoices page and is not ready to move. Not for a new buyer choosing a tracker because of the integration.
- Pricing: Free for up to 3 users. Starter is $9 per user/month billed annually or $12 monthly and adds billable rates; Premium is $16 or $24; Enterprise is on request. Time Off Pro at $2 and Capacity Management at $5 per user per month are add-ons. 30-day trial on the paid plans.

In Toggl Track an invoice is a PDF built from a Summary or Detailed report, with a fixed layout, your billing details and a custom charge for a fixed fee, and the free plan's PDFs carry Toggl's logo. The Invoices page keeps the ones you have made and, on Starter, lets a workspace admin send an invoice to QuickBooks, which is the whole of the integration. There was never a Xero invoice path; the Xero entry on Toggl's integrations list was a browser-extension timer button. Nothing marks entries as paid, so the recommended routine is a "paid" tag filtered out of the next report.
Toggl lists QuickBooks Online and Xero as legacy Track integrations unsupported by the unified Toggl product. Existing Track users should confirm that the QuickBooks invoice send is still available in their workspace before relying on it. New buyers should choose a currently supported route. What users say about Toggl Track
Toggl Track keeps its old affection: reviewers call it the timer people keep running, with a free plan solo users ride for years, and reports clients like. Both listings now cover the whole Toggl product, and nothing we read mentions QuickBooks, which fits a send on its way out. What they want is more flexible reports, a gentler jump from free to paid seats, and, from an admin, contractor invoicing connected to the hours.

Choose by your billing workflow
- Create invoices in the tracker: compare Harvest, Everhour and Timen for QuickBooks Online or Xero. For Xero, also consider Clockify. Check draft status, payment updates and correction handling.
- Create invoices in QuickBooks: compare the time transfers offered by TimeCamp, Hubstaff and QuickBooks Time. Confirm which time and customer fields your billing process needs.
- Use Xero for project work already: try Xero Projects before adding another tool, and include the Established plan in the cost.
Price the required tier for your team, including base fees, seat minimums and accounting subscriptions. Then test one invoice or timesheet transfer with representative clients, rates and currency. Check the resulting total and where corrections belong before using it for live billing.

Questions to settle before connecting anything
The questions that come up once the shortlist is down to two.
- What happens when I correct an invoice after sending it to the books?
- It depends on the tool. Timen sends the invoice again and updates the one it already created rather than adding a duplicate, with Wave as the exception because Wave cannot take updates. Everhour copies invoices across as drafts, so corrections are made in QuickBooks or Xero before the draft is approved. For Harvest, Clockify and TimeCamp, send a corrected invoice during the trial and look for a second copy before you rely on it.
- Is a CSV export good enough instead of a live integration?
- A CSV can suit occasional imports if it uses the destination's required fields. Check client matching and totals after import. The file does not bring payment status back or maintain a connection, so manage later corrections in the accounting system according to its import rules.
